Step 01
Setup
Start every project in under two minutes. Setup captures the client, facility and financial context that feeds every calculation downstream.
- Client and facility info: name, company, address, facility type, project notes
- Region selection: pick your province or state and the utility rate, CO₂ factor, demand rate and rebate program name fill in

Audit
Enter existing fixtures as you walk the building, on the iPad, iPhone and Android app or in the browser. One compact line per fixture type, with no separate data capture step.

Step 03
Retrofit
Choose the LED replacement for each audited fixture. Savings appear under each line as you work.
- LED categories: tube, panel, high bay, lamp, outdoor and specialty
- Your own catalogue first: products that fit the fixture body, size and voltage are offered before anything else
- Wattage and cost pre-fill from the LED selection, always editable
- Savings per line: watts reduced, kWh per year and dollars per year, shown instantly
- Rebate per fixture: enter the per-unit rebate right on the line
- Catalogue number and data sheet link: carried into the proposal and the installer work order
- Lamp replacement jobs: the proposal talks about lamps when the job is a relamp

Step 04
Controls
Optional, on Pro. Skip this step for LED-only proposals and add it when the site calls for it. Controls savings are kept separate from the LED baseline, never mixed in.
- Fit assessment per space: High fit, Possible fit, Needs site review or Not likely, based on the space type
- Four control strategies: occupancy sensing, daylight harvesting, scheduling and high-end trim
- Conservative savings model: strategies layer on top of the LED baseline, with the assumptions disclosed
- LED only vs LED plus controls: payback and savings shown side by side, so the client decides
- Controls rebates: tracked separately from LED rebates
- Incremental savings: shown on top of the LED baseline, not blended into it
Step 05
Rebates
Review and adjust rebate amounts per fixture. Turn rebates on or off for the whole project. They flow into net investment and payback automatically.
- Per-fixture rebate: set in the Retrofit tab, reviewed and adjusted here
- Program name: filled in from the region (Save on Energy, BC Hydro, Hydro-Québec and others)
- Typical ranges: a starting point per fixture category when you do not have the exact amount yet
- One switch: include or exclude rebates for the whole project
- Rebate schedule in the proposal: a clear line item, labelled as an estimate subject to program approval

Installation
Enter labour, disposal, equipment and permit costs, by fixture or as a lump sum. Every cost feeds the net investment and payback. When the job is sold, the same tab hands it to your installer.

How does LumaQuote work?
LumaQuote follows a seven-step workflow: Setup (client info, region, rates), Audit (existing fixtures by area and space), Retrofit (LED replacements and savings per line), Controls (optional: occupancy, daylight, scheduling), Rebates (per-fixture tracking), Installation (labour and other costs) and Proposal (payback, ROI, cash flow, CO₂). Each step feeds the next, with no re-entry and no separate files. The finished proposal exports as PDF or Word from the Proposal tab.
Is there an app for auditing on site?
Yes. LumaQuote Field is an iPad, iPhone and Android app on the App Store and Google Play, included on every plan. You add areas, spaces, fixture counts, hours and photos while you walk the building, even with no signal. The audit shows up in your LumaQuote dashboard on its own, ready for the Retrofit step. You can also enter an audit directly in the browser.
Can I skip the Controls step?
Yes. Controls is optional. For LED-only proposals, go straight from Retrofit to Rebates and the proposal shows an LED-only analysis. Controls analysis is part of the Pro plan. When you use it, LED-only and LED plus controls results appear side by side in the proposal.
How does LumaQuote calculate energy savings?
LumaQuote calculates savings per fixture line by comparing existing wattage × quantity × operating hours against the proposed LED wattage. Annual kWh and dollar savings use your regional utility rate. The tool also calculates demand charge reduction and maintenance savings from longer LED life. The three components appear separately in the proposal, with the assumptions behind them.
What does the Proposal tab include?
The Proposal tab shows net investment (material + labour − rebates), annual savings, simple payback, first-year ROI, a 10-year cash flow, kWh savings by area, CO₂ reduction with trees equivalent, and a full assumptions section. From there you export the complete proposal as PDF or Word, a short Quick Quote estimate, and a work order for the installer.
Does LumaQuote work in Canada?
Yes. LumaQuote has built-in utility rates, CO₂ factors, demand charges and rebate program names for Canadian provinces, including Ontario, Quebec and British Columbia, and for US regions. Select your region in Setup and the values fill in. Tax lines have province presets for GST, HST and PST, and every rate stays editable.
Can several people work in one LumaQuote account?
Yes, on the Team plan. The owner invites people by email as Estimators or Auditors. Each project is assigned to one person, who edits it. Everyone else on the team can open it view only and leave comments on the project or on a single space. Owners and estimators can hand a project off or take it over, and auditors see only the projects assigned to them or that they created. Company branding, prices, products and templates come from the company account, so every proposal looks the same.
